What is it?
The Admitted Patient Register provides a live list of all current inpatients across your facility. Patients at the top of the list are considered more complex — based on factors such as longer length of stay, frailty, or predicted readmission risk.
This helps clinical and flow teams quickly identify patients who may need early intervention and, if required, escalate them to the Complex Patient Register or Escalation List for coordinated management.
Why it matters
See every admitted patient at a glance, with the most complex first.
This component supports timely and efficient patient flow by surfacing those who may require additional coordination or discharge planning. By using predictive models and flow indicators, it helps staff prioritise resources and plan ahead.
Key benefits:
- Visualise all inpatients in real time: Review the full list of admitted patients across your hospital or division.
- Focus on the highest-risk cases: Automatically prioritised view brings those with the longest stays or highest risk to the top.
- Plan early interventions: Identify and escalate complex patients before barriers to discharge arise.
- Support team coordination: Align wards, allied health, and flow managers around a shared view of complex patient activity.
How to use it
Filter to focus your view
Use the filters at the top of the dashboard to refine which patients you see:
- Ward Division / Ward Type / Ward: Narrow results to specific divisions, ward types, or individual wards.
- Consultant Specialty: Focus on patients under a particular clinical specialty.
- Flow Category: Filter by the SystemView Flow categoriesgories - Passive, Risk, or OK.
- Order By: Sort results by ward, length of stay (LOS), or other key fields.
- Patients Shown: Display either Top 30, Top 100, or All patients.
- Patient: Search for a specific patient using their patient ID.
ℹ️ Note: Filter options may vary depending on your environment — some sites may display additional filters.
Review inpatient insights
Use the Admitted Patient Register table to review all current inpatients and identify those who may require escalation for complex discharge management.
You can flag a patient as a complex discharge by selecting ‘Y’ from the Complex Discharge dropdown in their row. Once saved, that patient will automatically appear in the Complex Patient Register for ongoing monitoring and follow-up.
After making any updates, select Save in the bottom right corner to apply your changes.
Tile Name | What It Shows |
Total Admitted Patients | Displays the total number of admitted patients within your selected filters (e.g., facility, ward, or specialty). This provides a quick snapshot of overall inpatient volume. |
Admitted Patients Table | Displays detailed patient-level information including care type, ward, ward type, division, and bed location. Shows admission date, total length of stay (LoS) across the facility, ward LoS, and Flow Category status (Passive Bed, Passive Bed Risk, or OK). Also includes estimated discharge date, consultant, specialty, current diagnosis, and Risk of Hospitalisation (RoH) metrics. |
💡 Tip: To learn more about supporting metrics, see the SystemView logic section below.
How it works
The Admitted Patient Register compiles live data from your hospital’s inpatient systems and displays all current admitted patients based on the filters applied.
Patients are automatically sorted by total length of stay, with those admitted the longest appearing at the top of the list - helping you focus on cases that may become more complex if not actively managed.
If a patient is identified as a complex discharge, users can flag them by selecting ‘Y’ under Complex Discharge in the table. Once saved, these patients are added to the Complex Patient Register for review and ongoing management by the appropriate teams.
SystemView logic
- Flow Length of Stay (Flow LoS): Represents the expected period of time a patient should stay on a ward to maintain optimal patient flow, based on historical demand patterns. It helps identify patients who have exceeded or are at risk of exceeding their expected stay.

- Risk of Hospitalisation (RoH): A predictive measure estimating the likelihood that a patient will be readmitted to hospital within 30 or 60 days post-discharge. It highlights patients who may require additional discharge planning or follow-up to reduce readmission risk.

How it helps you
- See the full inpatient picture: Access a real-time view of every admitted patient in your hospital.
- Triage complexity at a glance: Quickly identify which patients may require early intervention.
- Act early: Escalate potential complex cases before discharge barriers occur.
- Improve efficiency: Streamline morning flow meetings and reduce time spent gathering ward lists.
- Enable collaboration: Share a common, prioritised view with NUMs, allied health, and flow managers.
Best practices
How often should I use it?
What to Do | How Often | Who Should Do It | Why It Helps |
---|---|---|---|
Review admitted patient list | Daily (morning flow meeting) |
Bed Managers, Patient Flow Team | Focuses discussion on longest-stay and high-risk patients. |
Escalate identified cases | As required | Ward NUMs, Allied Health, Nurse Leads | Ensures early involvement of Complex Patient Team. |
Cross-check with Complex Patient Register | Weekly | Patient Flow Leads, Discharge Coordinators | Confirms active management and prevents duplication. |
Pair with these components
- Complex Patient Register: Manage escalated cases and monitor discharge actions.
- Complex Patient Escalation List: Track progress of escalated patients and follow-up tasks.
- LoS Trends & Ward Dynamics: Identify wards with higher proportions of long-stay or complex cases.
- Discharge Trends: Assess discharge activity and highlight potential bottlenecks.
Tips for success
- Use this register during daily bed or flow meetings to focus discussions on the longest-stay and highest-risk patients.
- Escalate early to ensure proactive discharge planning.
- Regularly review and de-escalate patients whose discharge barriers are resolved.
- Combine filters to focus on your specific ward or specialty for targeted planning.
- Collaborate across disciplines — use the shared visibility to align care and discharge priorities.
❓FAQs / Troubleshooting
Q. Can I edit the patient data directly in the register?
A. No, patient data is sourced live from hospital systems. Use the Complex Discharge dropdown to flag cases for management.
Q. How are patients prioritised?
A. The component automatically orders patients by total length of stay, showing those admitted the longest, and therefore most likely to be complex, at the top.
Q. How is this different from the Complex Patient Register?
A. The Admitted Patient Register includes all current inpatients, prioritised by complexity. Once reviews, patients can be manually escalated to the Complex Patient Register for detailed tracking and discharge coordination.
