Inpatient Demand > Scheduled Demand

Understand your scheduled theatre and inpatient admissions against available capacity.

Location in SystemView: SystemView > Explore > Beds > Inpatient Demand > Scheduled Demand

In this article:

What it is

The Scheduled Demand component provides an overview of all planned inpatient admissions coming from theatre activity. It analyses scheduled admissions against available beds and existing inpatients, helping teams understand how upcoming activity will affect bed capacity.

Why it matters

See today’s planned theatre admissions in real time and plan ahead for tomorrow’s demand.

  • View today’s scheduled theatre arrivals and compare them with current bed availability.
  • Analyse upcoming admissions over the next 4 weeks by ward, specialty, or stay type.
  • Identify potential capacity pressures early to support proactive patient flow.
  • Use detailed patient-level data to plan ward allocations and coordinate with theatres.

How to use it

Filter to focus your view

Use the filters along the top of the component to adjust your analysis:

  • Division: Focus on a specific clinical or service division.
  • Ward type: Toggle between physical and virtual wards (mapping varies per facility).
  • Specialty: Filter admissions by clinical specialty (e.g., Cardiology, Ophthalmology).
  • Ward: Select an individual ward for more granular analysis.
  • Stay type: Break down admissions by Day Surgery, Overnight, or Extended stay.
(Note: This filter only appears in SystemView environments where an estimated length of stay is recorded.)

Explore key scheduled demand insights

The component is structured in two main analytical sections.

ℹ️ Note: Some SystemView environments only display the first three tiles: Key Metrics, Planned Admissions Today by Ward & Arrival Status vs Current Bed Capacity, and Planned Admissions by Ward & Scheduled Admission Date.

1. Today's scheduled admissions

Tile name What it shows
Key Metrics: Inpatient Scheduled Demand A real-time summary of all planned theatre admissions for today - showing how many have arrived, are waiting to arrive, or are awaiting surgery.
Planned Admissions Today by Ward & Arrival Status vs Current Bed Capacity Displays today’s planned theatre admissions by ward and their arrival status compared with current available beds (in green) or required beds (in red).
Planned Admissions by Ward & Scheduled Admission Date Charts upcoming planned admissions by ward across the next four weeks, showing expected daily volumes.

2. Upcoming activity and bed impact

If visible in your environment, additional charts help you explore future scheduled activity:

Chart name What it shows
Planned Admissions by Specialty & Scheduled Admission Date Breaks down upcoming admissions by specialty to identify high-volume services.
Planned Admissions by Estimated Stay Type & Scheduled Admission Date Groups planned admissions into Day Surgery, Overnight, and Longer stays.
Planned Admissions by Estimated Stay Length & Scheduled Admission Date Shows the total estimated inpatient days generated by scheduled admissions.
Expected Bed Occupancy from Scheduled Admissions Projects cumulative bed occupancy from scheduled admissions, factoring in patients still admitted from earlier days.
Expected Bed Occupancy from Scheduled Admissions and Current Patients (by Estimated Discharge Date) Combines scheduled and current inpatient data to visualise how upcoming admissions will overlap with remaining inpatients.

Explore patient details

Use the buttons at the top of the component to view patient-level information:

  • Current Patient Details: Displays all scheduled theatre admissions for today, including those already arrived, waiting for surgery, or awaiting ward admission.
  • All Patients: Displays every scheduled admission planned for the next four weeks on a day-by-day basis.

You can also click any bar or segment in the charts to drill down to patient-level details and open a patient list for that specific cohort.

💡 Tip: Patient-level lists can be exported to Excel for further analysis.
For step-by-step instructions, see How to export from SystemView › in the Knowledge Base.

How it works

The Scheduled Demand component analyses scheduled theatre admissions and calculates the projected bed occupancy impact based on:

  • current inpatients,
  • estimated discharge dates, and
  • scheduled admissions over the next 28 days.

Calculation logic

  • Scheduled admissions today: Count of theatre cases scheduled for today.
  • Bed availability: Pulled from the current ward bed capacity in SystemView.
  • Expected bed occupancy: Cumulative total of current inpatients + scheduled admissions minus expected discharges for each day.

How it helps you

  • Plan admissions confidently: View upcoming scheduled activity alongside available beds.
  • Identify early risks: Spot potential capacity shortfalls days or weeks in advance.
  • Align theatre and ward teams: Use shared visibility to improve patient flow.
  • Access patient-level detail: Drill down for names, stay types, and estimated lengths of stay.
  • Support escalation meetings: Use visual insights to discuss upcoming pressures with leadership.

Best practices

How often should I use it?

What to Do How Often Who Should Do It Why It Helps
Review planned admissions for the day Daily (AM bed meetings)
Nurse Unit Managers, Patient Flow Coordinators Ensures beds are ready for theatre arrivals
Check the 4-week admission outlook Weekly Bed Managers, Divisional Leads Identifies future capacity peaks or bottlenecks
Drill down to specialty view As needed Service Managers, Flow Coordinators Supports specialty-specific planning
Export patient list for follow-up As needed Administration Teams Enables detailed scheduling or resourcing

Pair with these components

  • Bed Capacity Monitor: Compare planned vs available beds in real time.
  • Discharge Trends: Assess discharge patterns to free capacity for scheduled admissions.
  • Admitted Patient Register: Review current inpatients to understand occupancy pressures before scheduled admissions.
  • Complex Patient Register: Identify long-stay or complex patients impacting bed turnover.
  • Emergencies Now: Monitor unplanned admissions alongside scheduled activity to anticipate capacity conflicts.

Tips for success

  • Use ‘All Patients’ view to forecast admissions up to 4 weeks ahead.
  • Filter by specialty to identify upcoming high-volume surgical activity.
  • Click on any bar or segment on the charts to view patient-level details.
  • Export results to Excel for deeper analysis (see How to Export from SystemView).
  • Pair with Bed Capacity Monitor to validate that wards can safely accommodate planned admissions.
  • Incorporate these metrics into your MyHub dashboards with related components, such as the Admitted Patient Register, and Emergencies Now, to create a tailored Scheduled Care Dashboard for your site.See How to create a Hub Page › for more.
